The follow-up happens without you.
I install the systems that answer your leads, check in on your clients, and chase your invoices. Then I run them.

Where the hours actually go
The work that eats a service business is never the work you sell. It is the remembering around it.
The inquiry that sat two days
By the time you answered, they booked someone who answered first.
Check-ins that depend on you remembering
Clients drift quietly, and you find out at renewal.
Content that never leaves the recording
Every session holds five posts you will never get around to making.
Invoices you chase at 10pm
The admin tail that turns a good week into a long one.
What gets installed
Five systems. We install the three that move your numbers.
Lead and inquiry follow-up
Every prospect answered in minutes, scored, and put in front of you with a drafted reply. Nothing sits in an inbox over a weekend. This is the one that pays for the others.
Client check-ins
Progress nudges and accountability that fire on their schedule, not your memory.
Content repurposing
One recording or newsletter becomes five to ten posts, written in your voice, queued for your approval.
Weekly scoreboard
Your numbers arrive Monday morning. Nobody builds the report.
Back office
Invoice chasing, scheduling, reminders. The evening work.
Which three you get is decided on the call, from where your hours actually go.
A med spa lead qualifier, start to finish.
Riverbend Aesthetics is a med spa I invented so I could build the whole thing in the open and publish the numbers. The business is fictional. The system is real, it runs on a live GoHighLevel account, and every figure below was measured on it rather than estimated.
What it does not do. Nothing is texted to the lead. The location has no registered sending number, so the drafted reply is staged on the record for a human to send. Making it send for real needs a phone number and carrier registration, which is spend and a multi-day approval, not a code change.
- Lead submits the web formcontact created, webhook fires on a shared secret
- Normalize and guardidempotency check, so a repeat trigger cannot duplicate the record
- Read the leadone model call, lead text handled as data and never as instructions
- Write back to the contact5 custom fields, 2 tags, 1 opportunity, 1 note with the drafted reply
- Follow up on a clockhot at 4, 24, 72 hours; warm at 24, 72, 168; under 5 never enters
- Stop when the goal is meta booking or any reply drops the lead out and flags it for a human
How working together goes
Call
You show me where the hours go. I tell you honestly whether I can get them back and which three systems come first. If the answer is no, you get that on the call instead of in a proposal.
Install
Built on your accounts, under your logins, documented as I go. If we part ways after the install you keep everything and it keeps running.
Run
I monitor it, fix what breaks, improve one thing a month, and send you a report showing what it actually did. Not a list of tasks I performed.
Pricing
Two numbers, both of them plain.
Install
One time, set by scope. Two weeks, on your accounts, documented so you own it either way.
Run it
Monitoring, fixes, one improvement a month, and a report that shows what the systems did.
The first five clients get pilot pricing and direct access to me.
The guarantee
If the install does not save you at least five hours a week within thirty days, I work free until it does, or I refund the install. Your call which.
Whether this is for you
I would rather lose the sale on the call than take a project that was never going to work.
Built for
- Coaches, consultants and solo experts whose business runs on follow-through
- Local service businesses that live on inbound: clinics, med spas, firms, advisors
- Owners already paying for tools or people to cover this, and still losing the hours
- Owners who want to understand what was built, not just rent a black box
Not for
- Custom software builds. This is installation and operation, not a dev shop
- Regulated patient or financial data that cannot leave its system of record
- Ads management, media buying, or anything that lives or dies on spend
- Businesses with no inbound yet. Automating zero leads returns zero
Who you would be working with
Army veteran, and four years as a project manager before that. I run my own business and most of my own life on this stack: the follow-ups, the tracking, the reporting, the weekly numbers. I am not selling software I read about. I am installing what I already live on, and I will show you the inside of it on the call.
Thirty minutes, no pitch.
Tell me where the week goes. I will tell you what I would automate first and what I would leave alone.
